Back Office (coordination )

Key Responsibilities:

1) Technical Offer Preparation: Prepare technical offers and support the sales team in presenting accurate and competitive proposals to clients.
2) Order Processing: Manage the creation of proforma invoices, order acknowledgements, and work orders. Ensure timely processing and communication.
3) Department Coordination: Collaborate with the Accounts, Purchase, Dispatch, and Production teams to ensure alignment and timely updates.
4) Client Communication: Regularly update clients on order status and gather information from the Production team to share with clients.
5) Gantt Charts Preparation: Develop Gantt charts for internal department use while releasing work orders, ensuring clarity and project timeline management.
6) Negotiation & Recovery: Handle negotiations with customers for spares orders, transportation costs, and other small amounts. Draft outstanding payment reminder mails and assist with payment recovery efforts.

Qualifications:
1) Education: Diploma or Bachelor's Degree in Engineering preferred. Candidates with a B.Com or MBA in Marketing are also encouraged to apply.
2) Experience: Minimum 4-5 years of experience in a sales support or back-office role. Experience in a similar industry is preferred.
3) Skills: Strong organizational and coordination skills, with an ability to handle multiple tasks and prioritize effectively.
4) Software Proficiency: Ability to create Gantt charts and work with standard office software (e.g., Excel, Word).

Preferred Skills:
1) Prior experience in sales support or back-office roles.
2) Strong communication skills, both written and verbal, for effective client and team communication.
3) Ability to negotiate with customers and handle payment follow-ups efficiently.
4) A proactive attitude towards problem-solving and process improvement.
